RSVP
TheRSVPmodule allows you to manage invitations with RSVP functionality and is used primarily forcorporate or private events. Unlike a traditional invitation, the guest receives an open invitation to which they mustrespond by confirming or decliningtheir attendance.
Enable the RSVP module
To activate the module, simply go toManage Event > Modulesand activate theRSVP module.
Once you've completed this process, two areas for managing invitations will be available:"Manage RSVP Invitations," where you define the invitation type, and the"RSVP" option (in the purple sidebar on desktop, or in the top bar), where you can view, send, and manage invitations.
Set up RSVP invitations
Whenmanaging RSVP invitations, you define theinvitation type—that is, whether or not the guest can change their personal information after confirming their attendance. Two options are available:
- Guests cannot change their personal information:the information is locked in as soon as attendance is confirmed.
- The guest can change their personal information:the guest can edit their information after confirmation.
After selecting the desired option, simply clickSubmitto save the settings.
Import RSVP Invitations
RSVP invitations can also be created by importing them underManage Event > Ticket Importer > New Import. The general operation of the importer is detailed in the article“Attendee Importer.”
⚠️ When importing,only the RSVP option(RSVP list import) should be enabled. TheSMSandEmailoptions must remain disabled so that invitations are not sent during the import process.
When importing, you select the invitations and the available quantityper guest using the+ and− buttons. You can combine multiple invitations (for example, 2 of one invitation and 5 of another).
The (CSV) file follows theparticipant template, with the columnsName,Mobile Phone(including the country code, e.g., 351xxx),Email,Seat, andRSVP Quantity.
TheRSVP Quantitycolumn specifies the maximum number of invitations each participant can select when responding. It allows you to set different limits for different participants.
Example: Even if the import makes 100 invitations available, a participant with an RSVP Quantity of 4 can only select up to 4.
Once all the invitations have been uploaded, simply go to theRSVPoption and select "Send Approved Invitations" to send all the invitations at once.
Manage and send RSVP invitations
Once setup is complete, you can manage invitations using theRSVP option in the purple sidebar (on desktop) or in the top bar.
On this page, you'll find the event invitations, organized by date. You can:
- search for tickets using the search bar;
- check theavailabilityand expiration date of each invitation;
- See who has already responded by clicking "View Participants."
On the right-hand side, there are three options that allow you to manage RSVPs simultaneously:
- View pending invitations:View invitations that are pending or still awaiting approval.
- Send Approved Invitations:Send all invitations that have already been approved at once. This is also the next step after an import.
- Expire RSVPs:Expire any outstanding RSVPs, closing out invitations that have not yet been responded to.
